Tools I use to run my business (and life)

Productivity

  • Notion is my ā€œdigital brainā€ and I probably couldn’t live without it at this point.
  • I also use Notion as my CRM tool for DailyDesign.

  • Raycast, a better version of Apple’s Spotlight search.
  • Todoist to quickly capture tasks on my laptop and phone, and keep them in a simple to-do list.
  • LanguageTool, a writing assistant that checks spelling and grammar.
  • It’s an open-source alternative to Grammarly, created by a German company. The premium plan is way cheaper than Grammarly’s while having all the same features (and an even cleaner user interface in my opinion).

  • Toggl Track to track my time spent on tasks.
  • Zapier for automatically syncing my Toggl time entries to my Google Calendar.
  • Google Workspace for most basic functionalities of my digital life. (Google > Microsoft)
    • Gmail
    • Calendar
    • Drive for storing personal files and all of my clients’ design files
    • Docs & Sheets (I hate Microsoft Word so much that I even wrote my Bachelor’s thesis in Google Docs)
    • Meet for video calls with clients
  • tldv.io to record Google Meet calls → I switched to Granola.ai for transcribing meetings

Collaboration

  • Slack for communicating with clients and team members.
  • Cal.com for scheduling meetings.
  • Loom to record short and easily shareable screen recordings with commentary. I use it a lot to walk clients through updates on their design tasks.

Business stuff

  • SevDesk for accounting. It’s my ā€œsingle source of truthā€ for revenue and profit numbers.
  • ManyRequests is what the DailyDesign client portal runs on. → I replaced ManyRequests. For project management with clients, I now simply use a shared kanban board in Notion (or whatever PM tool the client prefers).
  • Stripe for payment processing.
  • Senja.io to collect, manage and share customer testimonials. Senja also makes it easy to collect video testimonials.

Design & Website

  • Figma to design anything from websites and app interfaces to social media graphics.
  • Photoshop & Lightroom to create or edit graphics and images.
  • Pitch.com to create presentations.
  • Super.so to create this website you’re on right now. Super is a website builder that runs on Notion. It simply hooks up to my Notion account and lets me share any of my pages – with proper SEO and great load times.
  • Webflow to build and host most websites, including DailyDesign.io
  • United Domains; where I’ve registered most of my domains, including flogoertzen.com. I can’t recommend it though. I plan on switching to another domain registrar and host; just didn’t take the time yet to make the switch.

Hardware

  • MacBook Pro M1
  • portable monitor as my 2nd screen (Amazon link)
  • It plugs into my MacBook via USB-C and doesn’t need separate power supply. It’s pretty light, so easy to carry around. I put it on this tablet stand.

  • cheap ergonomic mouse (Amazon link)
  • Have been using this since 2020. Took a couple of weeks to get used to it, but then it’s great and I’ve never had issues with my wrists ever since. Also, it’s extremely durable for the price; survived a 3 meter drop on concrete and still going strong!
